Position: General Volunteer, Coordination (Games night)

Status: Temporary (3 months), Part Time - August 2025 - October 2025

Weekly Time commitment: 5 hours - 7 hours weekly

Job Summary

MAX is organizing a fun and competitive games tournament for our community members and supporters. To qualify for the finals, we are organizing a Game Night every month. People can sign up to play Scrabble and Ludo, or just to hang out and watch others compete.

We are looking for 4-5 volunteers to help in planning and executing our next Game Night. This role involves managing logistics, coordinating with vendors and stakeholders, and ensuring a seamless experience for attendees. The volunteers will contribute to the success of MAX’s mission by delivering memorable events that showcase excellence and foster community engagement.

Key Responsibilities

• Planning and Coordination: Developing detailed event plans, including timelines, budgets and resource allocation
• Vendor management: Sourcing and managing vendors for catering, equipment rentals, transportation and other necessary services
• Venue management: Coordinating venue setup, layout, and logistics for optimal event flow
• On-site Management: Overseeing event execution, troubleshooting issues, and ensuring a smooth experience for attendees. 
• Post-Event Follow-up: Gathering feedback, managing post-event reports, and ensuring proper closure of the event. 
• Communication: Maintaining clear and consistent communication with all stakeholders (vendors, staff, participants). 

Qualifications

The successful candidate will be a detail-oriented and organized professional with a passion for coordination and community engagement.  You thrive in dynamic environments and are committed to delivering high-quality experiences.  You have:

• Strong organizational, communication, negotiation, and multitasking skills.
• Experience working with cross-functional teams including marketing, design, and communications.
• Ability to remain calm under pressure and maintain a customer-service mindset.
• Proficiency in Microsoft Office Suite and Google Workspaces tools.
• 3 years of experience working in a corporate setting.
